Gunuma Ski Lodge Inc Booking Rules
1. Definitions
1.1 Member: a person registered as a Life or Financial Member of Gunuma Lodge for the current calendar year.
1.2 Co-member: a person registered by a Member for the current year as entitled to share and exercise the booking rights of that Member.
1.3 Member’s Child: a person under 25 years of age who is a natural, adopted, step-child or foster child of a Member and who has been registered for the current year by that Member.
1.4 Summer Member: a person who, having previously been a Member, has transferred to Summer Membership only, and who has paid the specified subscription for the current year.
1.5 Accompanied Guest: a person who is booked in by a Member and is accompanied by that Member (or Co-member) during the whole of his/her stay at the Lodge.
1.6 Unaccompanied Guest: a person who is booked in by a Member but is not accompanied by that Member (or Co-member) during part or all of his/her stay at the Lodge.
1.7 Ski Season 2012: From Saturday 30 June to Saturday 8 September (inclusive).
1.8 Low Season 2012: All dates outside the specified Ski Season.
1.9 Winter Period [as defined by NPWS]: From the Friday night immediately before the June long weekend to the Monday night at the end of the October long weekend.
2. General
2.1 Bookings can be made only by Members and their registered Co-members. The processing of a booking request from registered person will have priority over those for guests. Bookings shall include the names of all persons to be accommodated and are not transferable.
2.2 Members are responsible for thier co-members, guests and family members behaviour and are to ensure that their co-members, guests and family members abide by the Gunuma Lodge Inc Constitution and all the rules implemented by the Committee.
2.3 Members, Co-members and their registered children pay member rates. (Those under 5 pay infant rates, those 5 to 17 pay child rates, while those 18 and 25 pay adult rates.) If a member does not have a registered Co-member, that member may book for any one accompanied guest with member priority and at member rates.
2.4 A child under 18 years old may not stay at the lodge unless accompanied by a responsible adult.
2.5 Each booking commences at 4.00 pm on the day of arrival and concludes at 4.00 pm on the day of departure.
2.6 All persons aged 5 years and over will be allocated a bed. An infant under 5 years may use a cot, spare mattress or share a bed, providing no more than four persons in total may occupy any room.
2.7 Where a booking involves one person in a room, the remaining bed in the room may be allocated to other persons of the same sex and, in the event of the occupant being under 18, other children of similar age (no more than 3-4 years difference).
2.8 Members who are unable to obtain a requested booking may ask to be put on ‘wait-list’ in the hope of a cancellation. Wait-list bookings will be treated ‘en bloc’ for the number of beds and nights wanted, unless the member specifies that s/he will accept vacancies for parts of the booking (some nights and/or some beds). Re-allocating cancelled accommodation will depend on room compatibility.
2.9 Members may request a parking space with a booking for the Winter Period, noting that no public overnight parking is permitted during this time. The cost of a parking space is $20 per night, payable at the time of making the booking.
3. Ski Season Bookings for 2012
When you may book
3.1 On Saturday 1st April at 10 am the Online Booking System will be open for:
- Members, Co-members and their accompanied registered Children.
3.2 Bookings in writing (by hand, post, fax or email on a Gunuma Booking form) will be entered by the Admin Officer on the afternoon of Sunday 1st April.
3.3 On Tuesday 1st May at 10am the Online Booking System will open for:
- Accompanied Guests;
- Registered Children aged 18 and over not accompanied by their parent Member, plus one Guest;
- Registered Children under 18 who are not accompanied by their parent member but are accompanied by some other Member.
3.4 Four weeks prior to the requested arrival date, bookings open for Unaccompanied Guests, except that Unaccompanied Guests will not be accepted during the ACT/NSW July school holidays (30 June-23 July) nor on Fridays and Saturdays in August.
What you may book
3.5 Prior to 1st May, Members may make bookings for no more than:
- one Saturday night in the ACT/NSW school holidays,
- one Saturday night in August;
- eight nights during the ACT/NSW school holidays;
- eight nights in August.
3.6 From 1st May, Members may make:
- extra bookings for themselves and their co-member and accompanied registered children;
- but may not book for consecutive Saturdays in August; and,
- bookings for up to six beds for Accompanied Guests in addition to those booked for themselves and their registered families.
3.7 Within 4 weeks of the requested arrival date, if beds are available, all the restrictive rules above no longer apply and additional bookings are open to members and their accompanied guests.
4. Low Season Bookings for 2011-12
When you may book
4.1 Members, Summer Members and Co-members may book up to six months in advance of the arrival date for themselves and their Accompanied Guests (It is required that the member is currently financial when the accommodation is used.)
4.2 Unaccompanied Guests may be booked in by Members up to three months in advance of the arrival date.
What you may book
4.3 A Member may book any number of beds, for themselves and their Guests except during the following restricted periods:
- Christmas / New Year from 22 December to 6 January inclusive;
- Easter from the Thursday until the Monday night inclusive;
- Friday, Saturday and Sunday night of any ACT long weekend; and,
- The night of, and the night before, any ACT public holiday.
4.4 During restricted periods, the maximum booking will be 20 beds, until four weeks before the arrival date, when any remaining available beds may be booked.

6. Payment Methods
6.1 Payment may be made by any combination of the following methods (in order of preference).
- From the member’s credit balance with Gunuma.
- By Electronic Funds Transfer (EFT). Westpac Account details = Gunuma Lodge, 032-713 44-1443 . Copy of bank’s receipt must be provided to the Gunuma Admin Office by email or post.
- By selecting Manage an Booking > Pay Overdue Balance in the Gunuma Online Booking system, and proceeding to pay by Paypal (Debit or Credit card transactions accepted).

By PayPal manually (Debit or Credit card transactions accepted). Use the Send money function in Paypal to send to treasurer@gunumalodge.com.au.
- By cheque (or money order) made out to Gunuma Lodge and posted to PO Box 779, Woden, ACT 2606.

6.2 A booking will not be confirmed until payment is made in full. Members making bookings by telephone and wishing to pay by cheque or by EFT will have their booking put on hold for up to four working days to allow time for postage of the cheque or proof of EFT, as appropriate.
6.3 All accommodation must be paid in full prior to the commencement of the booking.
7. Cancellations
7.1 When a booking is cancelled and the bed/s are not re-sold, a percentage of the cost of the accommodation cancelled is forfeited to Gunuma as an administrative fee in accordance with the amount of notice given to the Administrative Officer, as follows:

7.2 The cancellation fee (payment forfeited) is reduced by one-half where a cancellation creates a vacancy and the accommodation is re-sold, but will never be below 10%. If a partial or full booking is cancelled, members cannot book the same dates until a period of 7 days have elapsed. Members arriving at the lodge with substituted family members or guests who have not been booked in by the Administration Officer may be turned away by the Winter House Manager. Cancellation fees will be incurred for the person booked in who did not arrive at the lodge.
7.3 If a cancellation is caused by extenuating circumstances (such as illness, injury or a significant family event) the cancellation fee may be reduced to 10% at the discretion of the Committee in response to a written application.
7.4 A refund in respect of a cancelled booking may be made upon request, otherwise the amount involved will be held by Gunuma as a credit in the Member’s name.
